An overview of folders & how to use them in Assembly!

Folders are a great way to organize your flows and important links in Assembly!

Who can use this feature?

  • In order to create folders you must have our Flows feature enabled for your account.

  • Any employee can be create a folder to organize their flows.

  • Only employees with permission to share a folder can share it with others in the Assembly.

Feature overview

  • Use folders to organize important flows and links in your Assembly.

  • Folders you create will always be visible to you.

  • If a folder is shared with you, it will appear in your folders list with an icon to indicate it is shared.

  • You can hide any folder, both folders you create yourself or folders that are shared with you.


Creating a Folder

  1. You can create a a new folder by clicking on the "+" icon next to the 'My folders' section in your left navigation menu.

  2. Add a name for your folder and choose the folder color, click 'Save'


Adding flows and links to your folder

NOTE: you can only add items to a folder that you created yourself. You cannot modify a folder that was shared with you unless you are a collaborator on that folder. See 'sharing a folder' section below for more information.

Adding a flow

  1. To add a flow to your folder, click the '...' icon next to the folder name

  2. Click 'Add item'

  3. Select the flow(s) you want to add by clicking the checkmark next to it

  4. The flow will now appear at the top of the folder

Adding a link

  1. To add a link to your folder, click the '...' icon next to the folder name

  2. Click 'Add link'

  3. Enter the URL and give a name to the link, click 'Save'

  4. The link will appear at the top of your folder


Sharing a folder

If you have permission to share folders, you can organize flows and links in a folder and share them with other employees in your Assembly. All shared folders will appear in the employees 'My folders' list.

  1. To share a folder, click the '...' menu next to the folder name

  2. Click 'Share'

  3. Select who you want to share the folder with, click 'Done' to save and share.

    1. Viewer = Users can see all items in a given folder that they have access to, such as Flows.

    2. Collaborator = Users can see all items in a given folder that they have access to AND they can modify a folder by adding/removing items, rearranging the order of items in the folder, updating share permissions, and changing the folder name.

  4. To update the list of employees you have shared the collection with, follow steps 1-3 above.

If you have added a Flow to a folder and an employee you have shared the folder with does not have access to view the folder, they will not see that flow in the folder. In order for them to see the flow, you must share the flow with them first. Then it will automatically appear in the folder.


Organizing folder items

NOTE: Only the creator of a folder, or designated collaborators, can modify the contents of a folder, including adding/removing items, or rearranging the order of the items in the folder.

  1. To change the order of the items in your folder, or to remove an item from the folder, right click the folder item.

  2. Click 'Move item up' or 'Move item down' to change the order.

  3. Click 'Remove item' to remove the item from the folder.


Reordering folders

Anybody can reorder the folders in their 'My folders' list. The order of your folders in this list is unique to you, meaning any changes to the ordering you make will only be reflected in your own navigation menu.

  1. To move a folder above or below another folder in your 'My folders' list, click the '...' icon next to the folder name

  2. Click 'Move folder up' or 'Move folder down'


Hiding folders

If you have created a folder, or if a folder was shared with you, and you do not want it to be visible in your left navigation menu, you can hide it.

  1. To hide a folder, click the '...' icon next to the folder name.

  2. Click 'Hide folder'.

  3. If you have at least 1 hidden folder, you will see a 'Hidden folders' section in your 'My folders' list.

  4. To unhide, click the '...' icon next to the folder name.

  5. Click 'Unhide'.
