Understanding Collections

An overview of Collections & how to use them in Assembly!

Collections are a great way to organize your space within Assembly. You can leverage Collections to add in Flows, Posts, or Links for users to easily access on their left-hand navigation bar on their Dashboard.

Collections are similar to Flows with the Share Permission functionality. When you first create a Collection, only you can see it. To share it out to individuals, or to everyone, you'll need to update the Share Permissions within a given Collection.


Creating a Collection

You can create a a new Collection by clicking on the "+" icon next to the "Pinned collections" on your left-hand navigation bar.

A pop-up window will appear. From there, you can select an emoji to associate to your Collection, the highlight color, the name of the Collection, and provide a description of what the Collection will encompass. You can also pin the Collection to your navigation bar for easy access.

Once you'd added in the above information, click the "Save" button. If you pinned the Collection, you'll see this on your left-hand navigation bar. If you did not, don't fear! You can find the Collection you created by navigating to the "Collections" filter at the top of the page. You can also see any Collections you've been added to in this filter as well.


Adding Flows, Posts, & Links to a Collection

Adding a Flow to a Collection

To add a Flow to a Collection, navigate to the Flows filter at the top of your Dashboard. Once there, find the Flow you want to add, hover over it, and click on the three dots in the right-hand corner of the Flow's box.

From there, you will see a number of options to choose from. You'll select the "Add to a Collection" button.

A pop-up window will appear where you can select what Collection a Flow should be added to. Simply click on the drop-down from the "Choose an existing Collection" and select the Collection the Flow should be added to. You can also add the Flow to a new Collection by clicking on "Add to a new Collection" which will then prompt you to add in the Collection's name and description as we did earlier in this article.

Once you've selected the Collection you'd like to add the Flow to, click the blue "Add to Collection" button.

The Flow will now be added to the Collection and will also appear on the left-hand navigation bar for users that have access to both the Collection and the Flow.

If you have added a Flow to a Collection and the Share Permissions are not the same across both the Collection and the Flow, users that have access to the Collection but not the Flow you've added to it will not see the Flow.

Adding a Post or Link to a Collection

To add a Post to a Collection, simply navigate to the Flow the Post was created in. Locate the Post within the Flow and click on the three dots in the right-hand corner of the Post. Click on "Copy Post Link" and navigate to the Collection filter at the top of your Dashboard.

Now that you are in the Collections filter, locate the Collection you'd like to add the Post, or Link, to and click on the three-dots in the right-hand corner of the Collection. Select "Add a link to this Collection."

You'll see a pop-up window where you can add in the Link to the Post we just copied from earlier, or add a unique link to anywhere outside of the Assembly space. Add a name for users to easily see where it will be taking them and click the blue "Add link" button. Once completed, it will show up within the selected Collection and be available on the left-hand navigation bar on your Dashboard!


Collection Share Permissions

Similar to Flows, Collections have their own Share Permissions. You can create a Collection for your team and organize your Assembly space to make it easier for all users to leverage and engage with all of the important items you create!

Updating Share Permissions

You can update the Share Permissions for a given Collection by navigating to the Collection on the left-hand navigation bar, hover over the Collection, and click on the three-dots in the right-hand corner.

Click "Share Collection" and a pop-up window will appear. You can add rules to include everyone, Managers, Department, or even by Work or Home Locations. You can also add individual users to a Collection. Once you've set your rule, or have added individual users, you'll want to determine their permission level.

  • Viewer = Users can see all items in a given Collection that they have access to, such as Flows.

  • Collaborater = Users can see all items in a given Collection that they have access to AND can add items to a Collection, such as Flows and Links. They can also update the Collection name, description, and Share Permissions.

You may want to add individual users as a Collaborator to help continue building out your Assembly space!

You can also select to pin the Collection for all users. When you select this option, the Collection will be pined for all users you've added on their left-hand navigation bar.


Organizing Items in Your Collection

Now that you've added items into your Collection, you may want to further organize them out within the Collection. To do so, hover over individual Flows or Links and click on the three-dots next to it.

You can do the following for each item:

  • Move Item Up

  • Move Item Down

  • Remove Item from Collection
