HRIS Connections: Connecting to Rippling

Learn how to connect your Assembly account to the Rippling HRIS platform.

Connecting your Assembly to Rippling allows you to easily manage the members of your Assembly. You can add employees automatically to your Assembly from your Rippling, and customize your connection settings in Assembly.

Who can use this feature?

  • Only Assembly admins can connect your Assembly to an HRIS. This Assembly admin must also be an admin within Rippling to enable the proper permissions.

What to expect

  • Once you’ve connected to an Rippling, you (or any other Admins within your Assembly) can edit your connection settings or disconnect at any time.

  • Once connected, anyone within the selected settings will automatically be added or removed from your Assembly when they join/leave the selected settings.

  • When connected, we will import the following user details:

    • Avatar

    • First name, last name

    • Email

    • Employee ID

    • Birthday, start date

    • Job title, department, office location, home location

    • Manager/direct reports

  • These user details are used to populate your employees' profiles in Assembly.

    • This profile information is required to allow you identify and distinguish your employees from one another, as well as automating, sharing, and performing key actions within Assembly.

Connect

  1. From https://admin.joinassembly.com/, click Users in the left sidebar.

  2. Click Manage.

  3. Click “See all integrations” to view all other HRIS integrations.

  4. Select Rippling.

  5. Select Connect account.

    1. You may need to ensure the app is not already installed within Rippling itself, this may cause an error in the connection process.

    2. You must also ensure that the email you are logged into in Rippling is the same email that you are logged into in Assembly.

  6. Choose 'I'm the Assembly admin' to continue installing it yourself.

    1. Or invite someone else to do the installation.

  7. Click 'Authorize' after acknowledging all of the data Assembly imports through Merge.

  8. Select whether you would like to include or exclude contractors within your Rippling organization when syncing with Assembly.

    1. We do not recommend selecting the manual option.

    2. Whatever you select in this step will be respected in the 'Select people' step below.

  9. Select at which point new employees should be added or invited to Assembly.

  10. Click Continue, then next.

  11. Click Finish setup.

    1. At this point your connection is successful.

    2. You will then be prompted to configure SSO on the Rippling side

SSO configuration

Step 1/2: During rippling configuration

  1. After completing the above connection steps, click Set up single sign on now.

  2. Paste in your Assembly ID

    1. To find this, go to your admin panel.

    2. Click Security & Login.

    3. Click SAML Authentication.

    4. Copy your Assembly ID from the provider callback URL

    5. Click Move to the next step.

    6. Select whether to enable shared admin SSO with your employees (we recommend not enabling this).

    7. Click continue.

    8. Skip the group attribute step.

      1. This step is not necessary, the group attribute is already configured for your Assembly <> Rippling connection.

    9. Skip the testing step, in order to complete the SSO configuration you need to complete step 2/2 within your admin panel (below).

Step 2/2: Inside Assembly admin after connection is complete

NOTE: you can do this step at any point, it does not need to immediately follow the above step.

  1. Go to your admin panel.

  2. Click Security & Login.

  3. Click SAML Authentication.

  4. Click Pull SAML to automatically import all of your SAML credentials from your Rippling connection into Assembly (instead of having to go and locate them yourself).

  5. Select whether you want to enforce SAML SSO for:

    1. All members of your Assembly

    2. All members except those you manually invite (i.e., advisors, contractors, etc.)

    3. Make it optional (give people the option to log in with Rippling, along with our other SSO options, or email login)

  6. If you enforce for all members, or all members except manually-invited members, all members will receive an email prompting them to log in with Rippling.

  7. All members will be forced to log in with Rippling moving forward, until you change or disable the SAML SSO settings.

Select people and configure invites/create accounts

To complete you connection in Assembly, you will need to configure who you want to automatically synch with your Assembly, and how/when you want invites to go to new employees.

Complete your connection

  1. Go to you users/manage page in admin.

  2. Click Complete installation.

Select people

There are a few ways you can configure how members are added from your HRIS

  1. Everyone that joins or leaves your HRIS

    1. This will add/remove any employee who gets added or removed from your HRIS directory

  2. Anyone that joins or leaves a specific company within your HRIS

    1. This will add/remove any employee who gets added or removed from the selected companies in your HRIS

  3. Anyone that joins or leaves a specific group within your HRIS

    1. This will add/remove any employee who gets added or removed from the selected group(s) in your HRIS

  4. Manage all members manually

    1. Select each member of your HRIS workspace you want to add to your Assembly.

    2. This will require you to manually add additional members and manually remove existing members

NOTE: if you selected to exclude contractors or to set custom rules in the 'Connect' step above, any applicable employee will be excluded from the synch in Assembly. They will not be added to your Assembly account.

Configure invites and create accounts

  1. Configure whether you want to send invitations to your Assembly now or send them later.

    1. If you selected send invitations now, when you click 'Create accounts', all members of the selected department(s) will receive an invitation to join your Assembly.

    2. If you selected send invitations later, upon clicking 'Create accounts', all invitations will be queued, and an admin will manually need to send them once ready.

      1. Clicking View Queued Invites will direct you to your Queued section of the Users/Manage page where you can send the invitations.

  2. Configure whether new members are automatically approved or if an admin needs to manually approve them first.

    1. If you select 'manually approve', then all new users who get added to the HRIS will not be automatically activated in your Assembly.

    2. They will appear in the 'Queued' section and you will need to manually send the invitations.

  3. Click Create Assembly Accounts.

NOTE: Employees will not receive invitations/get queued until their start date, or whichever timeframe you selected in the 'Connect' step above. So, even if you add them into Rippling before their start date, they will not synch with Assembly until the selected date.

  1. From https://admin.joinassembly.com/, click Users in the left sidebar.

  2. Click Manage.

  3. Click Edit Connection

  4. You can change between any of the select people options

  5. You can also change which groups/companies/individual members join your Assembly.

  6. Click Continue

  7. Your updates will be saved and any previously-existing HRIS member who is no longer included in the criteria you selected will no longer have access to your Assembly through HRIS

NOTE: If you change your settings and select a different group/company than before, any employee who was previously part of the selection but is not a part of the updated selection will be automatically deactivated in Assembly.

Disconnecting

Disconnecting your HRIS will:

  1. Not remove any members from Assembly

  2. Prevent any automatic updates to your members list through your HRIS

NOTE: if you disconnect from your HRIS, any member previously activated in your Assembly through the HRIS will not be removed. However, if you reconnect and your connection settings (i.e., selected group or company) does not include a specific user, they will be automatically deactivated upon connection.

Quick settings

  1. Quickly change whether to auto-approve new members or if an admin must manually-approve them first

  2. Click Save Settings to save your changes

  3. You can also disconnect your HRIS from here

Data synching

  • Assembly syncs with Rippling every 6 hours.

  • The data will also sync whenever an update is detected in the HRIS.

  • You can manually trigger a data sync by clicking 'Sync data' at any time.
