Custom swag rewards set-up guide (COMING SOON!)

Assembly offers swag reward integrations with Axomo & Covver, and a custom swag store where employees can redeem points for company swag!

Custom swag is a great option to offer company swag to your employees without needing to have an Axomo or Covver account. It is not automated like Axomo and Covver, but it does allow you to offer swag as a reward type for your employees. See below for more details!

This article is for our custom swag store setup. If you have an Axomo or Covver Swag store, please see our Axomo and Covver help articles to set up up swag rewards with these providers.

Who can use this feature?

  • Only Admins can set up custom swag rewards

  • When enabled, all employees will have access to redeem their points for Axomo swag

What to expect

  • You can only have one swag rewards offering, you cannot combine Axomo/ Covver/custom swag

  • For custom swag, you must manually add your swag inventory to your catalog

  • Your employees can redeem their points for any swag item you add and enable, directly within the rewards page

  • There is no $ cost to any of these reward items within Assembly; we will not charge you for any custom swag reward redemptions

  • You are responsible for fulfilling/shipping the order once the reward is redeemed

Setting up custom swag in admin

  1. Go to your admin page

  2. Select Rewards -> Swag

  3. Select 'Custom'

Add swag items

To add swag items to your store:

  1. From the swag inventory page, click 'Add swag item'

  2. Enter the swag item name, description, category, and cost in USD (will explain why we ask for cost below)

  3. Upload an image for the swag item

  4. Select whether your item is a single variant or multi variant

    1. Single variant means there is only one size/color

    2. Multi variant means you have varying sizes and/or colors

  5. Enter the quantity of the item available

    1. If you would like the quantity to be unlimited, leave the quantity input blank

    2. If limited, once your employees have redeemed all of the available quantity of items, the item will become out of stock

    3. You can replenish the stock by editing the item and updating the available quantity

  6. If your swag items corresponds to a SKU in an external swag provider catalog you use, you can enter the SKU here to help you when fulfilling the order (this input is optional)

  7. If your item is multi-variant, click 'Add variant' to add another variant

    1. If your item is one size or one color, leave the input empty

  8. Once you have entered all your swag item details, click 'Save'

Swag item cost - explained

Please remember, custom swag items do not have any actual cost in $, and Assembly will not charge you for any custom swag redemptions. Please see below for more information.

  • All reward items in Assembly must have some sort of point value in order to be redeemed

    • If you want the item to be free, you can set the value to $0

  • We ask you for the $ cost of the item because we translate this cost to the equivalent point value in the rewards catalog

    • For example:

      • If your points are set to $1 = 10 points

      • And you set the cost of a swag item to $10

      • Then it will cost your employees 100 points to redeem

      • AND, more importantly, this helps if you have different exchange rates set for your employees (i.e., for your US employees, $1=10 points, for your Spanish employees, $1=9 points), the point value needed to redeem the swag item will update depending on the employee's exchange rate

  • When the swag item is redeemed, the points will be deducted from the employee's earned balance, and you will handle the distribution of the swag item (and any costs to purchase the item), on your own, outside of Assembly

Viewing swag inventory

By default, the items will display in the order you add them to the catalog.

Searching and filtering the swag inventory list is coming SOON!

Edit swag item

You can edit any swag item detail at any time. To edit a swag item:

  1. From your swag inventory page, find the item you would like to edit

  2. Click the edit icon

  3. Update the swag details you would like to edit

  4. If the quantity of an item is 0, the item will appear out of stock in the swag rewards catalog

  5. You must increase the quantity for the item to be back in stock/available to redeem

  6. Click 'Save' to save the changes

Turning on your swag rewards catalog

By default, the ‘Swag’ tab in your rewards catalog is turned off, meaning that even though all swag items might be turned ‘On’, nobody in your Assembly will see the ‘Swag’ tab in your rewards catalog until you turn it on.

To enable access to the Custom Swag rewards page for your employees:

  1. Go to your admin page

  2. Select Rewards -> Swag

  3. Next to Show the swag page in the rewards catalog, turn the toggle to On.

  4. This will show all swag items that you have turned on in your swag item list in Assembly.

To turn individual swag items on/off:

  1. Go to your admin page

  2. Select Rewards -> Swag

  3. Next to the item you wish to turn on or off, turn the ‘Show item’ toggle to on or off.

  4. You can also turn all swag items on or off by clicking ‘Turn all items ON or ‘OFF’.

  5. This will show or hide the swag item in the rewards catalog.

Billing for swag purchases and shipping

Assembly does not charge you for any custom swag redemptions. Any purchases and shipping of custom swag items are handled by admins directly, outside of Assembly.

Disable custom swag

You can disable your custom swag rewards at any time.

  1. Go to your admin page

  2. Select Rewards -> Swag

  3. Next to Show the swag page in the rewards catalog, turn the toggle to Off.

  4. This will automatically disable and hide the custom swag reward catalog for all your employees


Redeeming swag

To redeem your points for an Covver swag item:

  1. Go to app.joinassembly.com

  2. Click rewards in the left nav menu

  3. Select the 'Swag' reward type

  4. Select the swag item you would like to redeem

  5. Follow the steps to choose the item and enter shipping details

  6. Click 'Place order'

  7. The redemption will then need to be fulfilled by your Assembly admins directly before it is shipped to you

NOTE: You cannot combine various items in the same order. You can only purchase one or multiple of the same item within the same order.

Using swag points

  • If swag points are enabled for your Assembly, you can choose to use swag points to redeem your Covver swag item.

  • If you do not have enough swag points, you can combine regular points with swag points to redeem the item

  • You also always have the option to use regular points when redeeming swag; and if you do not have swag points, it will default to using regular points


Swag order management

Whenever a custom swag item is redeemed, it will display in the 'Order management' table in the admin swag page, where you can mark the order as fulfilled, or cancel and refund the order.

To manage your custom swag orders:

  1. Go to your admin page

  2. Select Rewards -> Swag

  3. From the 'Order management' tab, click the order from the 'order number' tab to open up the order management modal

  4. If you have shipped or handed off the custom swag item to your employee, click 'Mark as fulfilled'

  5. If you need to cancel and refund the order, click 'Cancel and refund'

    1. If cancelled, the points will immediately be refunded to the employee's earned balance upon cancelling the order
