
Only admins can set up and manage the new hire welcome celebrations
When the automated celebration is enabled, when a new employee joins your company they will automatically receive a new hire welcome post in the feed, as well as an email
The new employee must be active in Assembly in order to receive the new hire message
The new employee must have their start date associated to their profile at the time they are activated in Assembly to receive the message
If they are activated in Assembly without a start date, they will not receive the message
For example:
Employee A has a start date of February 4
They are activated in Assembly on February 10
They will receive the welcome message on February 10
If the new employee is active in Assembly within 14 days after their start date, the welcome message will still send for them
If they are activated in Assembly later than 14 days after their start date, they will not receive the message
For example:
Employee A has a start date of February 4
They are activated in Assembly on February 20
They will not receive the welcome message
If the new employee is active in Assembly before their start date, they will receive the message on their designated start date as it appears in Assembly
The welcome message will go out for all new employees at 8:00AM in their designated time zone (designated in their individual profile settings)
If they do not have a designated time zone set in their profile, it will go out at 8:00AM in the time zone that your Assembly is set in
New employees will be notified of the welcome message via email as well as in Assembly in the notifications page
The welcome message will appear as a post in the home feed
Go to your admin page
Automated celebrations -> New hire welcome
Select which kind of reward you want to give for each new hire welcome
You can select regular points, swag points, a combination of both, or no points
When the welcome message is posted, the points will automatically be deposited in the new employee's earned balance
If your recognition settings are configured to hide points from all posts, the point value will only be visible to the recipient and to all admins
We provide a few default images you can choose from, but you can upload your own for ultimate customizability
You can also click Choose image from library to browse default image options
To upload your own, click Upload your own in the Banner image section
The message you include here will be the message that all new employees receive in their welcome post. You can customize it using some of our dynamic variables:
Employee first name - will include the first name of the new employee
Employee full name - will include the first and last name of the new employee
Reward amount - will include the total # of points and the currency name (i.e., 10 Carrots)
NOTE: do not use this variable if your recognition settings are configured to hide points, the point value will not be hidden if this variable is used
Also, do not use this variable if your reward amount is set to 0/you are not giving a reward with this post
Company name - will include the name of your company as it is shown in Assembly
Manager full name - will include the full name of the new employee's manager
Email from name
Customize the name of who the message is from
This name will only appear in the email
If you would like to include a GIF with your welcome message, enable the 'Display GIF' toggle
If you would like to use different GIFs for each post, you can select up to 10 GIFs
When more than 1 GIF is selected, the GIFs will rotate for each new employees' welcome message
If you do not want to include a GIF, simply turn this toggle off (the message will still send)
You can choose to hide the message + GIF in your posts in the feed (for additional flexibility to keep your posts shorter and more focused)
If you choose to hide the message + GIF in your post, it will still appear for all recipients in the email
The post and email will automatically be sent to each new employee at 8am in their respective time zone
If you select ‘yes’, all employees will be able to boost their replies to the post with extra points for the new hire
If you select ‘no’, employees will not see the option to add a boost
NOTE: This setting is independent of your recognition settings for boosting; if you have boosts enabled for recognition and disabled for the new hire welcome post, they will only be disabled for new hire welcome posts.
If set to Everyone, all employees in your organization will be able to see the post in the feed
If set to Private, only the recipient and admins will be able to see the post in the feed
If you want to turn off or pause the new hire welcome automation, without losing any of your welcome message settings, simply toggle OFF the automation at the top of the page
When the automation is off, new employees will not receive their welcome message.
You can view a history of all posts that have been sent (or did not send) as a way to confirm that new hires have received their welcome post, and resend it if they didn’t!
From the Sent tab:
By default, we’ll show you all welcome messages that have been sent so far this month
You can filter by any previous month within the past 12 months
If a reward contains swag points, it will display a tooltip
Hovering or clicking this tooltip will show you the breakdown of how many of each kind of points was sent
If a new hire welcome message did not send, it will display a Not sent status
Clicking Resend will resend the message, generating a post in the feed as well as the email to the recipient
